Straight answers on refunds, cancellations, and what happens if you think an invoice looks wrong.
This is a general-purpose Refund Policy template for a B2B print-equipment repair business. Review it with a qualified professional before publishing, and make sure it lines up with the actual terms in your signed work orders and service agreements.
Sending a technician out — or starting remote diagnostics — carries a dispatch fee that covers travel, labor, and the time spent assessing the equipment. Once that work has started, this fee stands regardless of whether you decide to move forward with the repair itself.
If we've completed a repair and confirmed the device is working before we leave, the labor charge for that visit is final. Should the same problem come back within the workmanship warranty window (Section 6), we'll return and fix it again at no extra labor cost — that's our first move before any refund conversation.
Once a part or toner cartridge has been installed or opened, it can't be returned — unless it turned out to be defective, or our technician installed the wrong one by mistake. Unopened parts in their original packaging can typically be returned within 14 days, minus a restocking fee; check with us before sending anything back.
Care plans and maintenance contracts run on the terms in your signed agreement. If you cancel with time left on a prepaid term, we'll typically prorate a refund for the unused portion, minus any services already delivered and whatever early-termination terms your contract specifies. Once a service period has been fully used, that portion isn't refundable.
Need to move an appointment? No charge, as long as you give us at least 24 hours' notice. Cancellations inside that window — or a technician arriving to find they can't access the site — may carry a trip fee.
Repairs we complete come with a limited workmanship warranty (typically 30–90 days — the exact window is on your invoice) covering the specific issue we fixed. It doesn't extend to new or unrelated problems, damage from misuse, or consumables simply running out. Your invoice or contract will always confirm the exact terms.
Think something's off on a bill? Let us know within 30 days of the invoice date. We'll pull the service record, look into it, and come back with a correction, credit, or refund if one is warranted.
To start a refund request, send us your invoice number, company name, and a short description of the issue. Approved refunds go back to the original payment method or show up as account credit, usually within 7–14 business days.
We may update this policy from time to time — check the "Last updated" date above for the most recent version. Contracts already in place are governed by whatever terms were current when you signed them, unless we've agreed otherwise in writing.
